Privacy Policy

How we handle the information you share when planning something special with us.

Effective date: September 16, 2026 · Last updated: September 16, 2026

1. About this policy

RHI Creations by Maite (“we,” “us,” or “our”) is responsible for the personal information we collect in operating our cake business. This policy explains how we collect, use, disclose, and protect information through rhicreationsbymaite.com, our inquiry forms, and related customer communications and orders.

This policy describes our information practices. Visiting our website does not, by itself, authorize marketing messages or any processing that requires separate consent.

2. Information we collect

The information we receive depends on how you interact with us:

  • Contact information: your name, email address, telephone number, and any delivery or billing address you provide.
  • Event and order details: event date and location, guest count, cake size, flavor, design preferences, budget, personalization requests, delivery instructions, and related correspondence.
  • Messages and files: inquiry form submissions, emails, text or WhatsApp messages, inspiration images, and other content you choose to send.
  • Dietary information: allergy or dietary details you voluntarily share to discuss your order. These details may reveal health or religious information. Please provide only what is necessary, without medical records or unnecessary information about guests.
  • Transaction information: quotes, invoices, deposits, payment status, refunds, and transaction references. If you pay through a third-party payment service, that service handles the payment details you enter under its own privacy notice. Please do not send full card numbers or security codes through inquiry forms or messages.
  • Technical information: our website hosting and delivery services may automatically receive your IP address, browser and device information, pages requested, referring page, and access times when your device connects to the website.
  • Communication preferences: your consent choices, subscription preferences, and opt-out requests.

We receive information directly from you, from technical services that operate our website, and from people you authorize to coordinate an event or order. If you provide someone else’s details or photographs, please make sure you have permission to share them.

3. How we use information

  • Respond to inquiries, check availability, prepare quotes, and discuss cake designs.
  • Manage orders, invoices, payments, delivery, pickup, and customer support.
  • Communicate about your event, order, or requested services.
  • Send optional promotional communications where permitted by law and with consent when required.
  • Maintain business records, prevent fraud, secure our services, resolve disputes, and meet legal obligations.
  • Understand and address website errors and improve the customer experience.

We use dietary details only as needed to discuss and fulfill your request. We ask for permission before using identifiable customer photographs, testimonials, or private event details in our public marketing.

4. When we share information

We disclose information as needed to operate our business, including to:

  • Service providers: website hosting, customer relationship management and forms (including GoHighLevel), communications, payment processing, and business administration providers.
  • Order participants: delivery providers, venues, or event coordinators when needed to fulfill your order or at your direction.
  • Professional advisers and authorities: when reasonably necessary for accounting or legal advice, compliance with law or lawful requests, fraud prevention, or protection of rights and safety.
  • A business successor: in connection with a merger, acquisition, or transfer of the business, subject to applicable law and appropriate confidentiality protections.

We limit disclosures to what is reasonably needed for the relevant purpose. We do not sell personal information, including sensitive personal information, or share personal information for cross-context behavioral advertising. We do not provide customer contact lists to other businesses for their own marketing.

Mobile information and messaging consent: mobile numbers, text-message opt-in data, and consent records are not sold or shared with third parties or affiliates for their marketing or promotional purposes. Providers that help deliver our messages may process this information only as needed to provide that service. We may also disclose information when legally required.

5. Cookies & website tools

Our website platform may use cookies or similar technologies to support forms, maintain preferences, protect against misuse, and keep website features working. Technical logs may also be generated when you browse. We do not use advertising pixels or cross-site targeted-advertising tools under the practices described in this policy.

You can use your browser settings to block or delete cookies. Some website functions may not work properly if necessary cookies are blocked. When a third-party feature is present, its provider may receive technical information when the feature loads or when you interact with it.

Where applicable law requires consent for optional technologies, we obtain that consent before using them. If our use of analytics or advertising technologies changes, we will update our disclosures and provide any legally required choices.

6. Email, SMS & WhatsApp

When you contact us, we use your contact details to respond and coordinate your request. If we offer promotional email, SMS, or WhatsApp updates, participation is optional. We obtain consent where required, and consent to marketing is not a condition of purchasing.

Email: use the unsubscribe link in a promotional email or contact us to stop promotional emails. We honor email opt-out requests within 10 business days. Necessary order or service communications may continue.

SMS: if you enroll in a text-message program, message frequency varies and message and data rates may apply. Reply STOP to opt out or HELP for assistance, or contact us using the details below. We also honor other reasonable requests to revoke consent as required by law. A non-promotional confirmation of your opt-out may be sent. If you opt out of texts, we can arrange another channel for necessary order communications.

WhatsApp: you can ask us to stop promotional messages or use WhatsApp’s blocking and privacy controls. WhatsApp independently processes information under its own terms and privacy policy.

7. Retention & security

We retain personal information for as long as reasonably necessary for the purposes described here. Retention depends on whether an inquiry becomes an order, the duration of our customer relationship, accounting and tax requirements, consent records, dispute resolution, and other legal obligations. We may retain limited opt-out information to respect your communication preferences.

When information is no longer needed, we take reasonable steps to delete it, de-identify it, or securely dispose of it. Information in backups may remain until those backups are replaced under the applicable backup cycle.

We use reasonable administrative, technical, and organizational safeguards to protect personal information. No website, transmission method, or storage system can be guaranteed completely secure. If a security incident triggers a legal notification obligation, we will notify affected individuals and authorities as required by applicable law, including Florida’s Information Protection Act.

8. Your choices & privacy requests

You may contact us to ask about the personal information we hold about you, request a correction or deletion, or change your communication preferences. We will review your request and respond consistent with applicable law. We may need to verify your identity using information reasonably related to your request. Please do not send government identification or sensitive financial information unless we specifically arrange a secure method.

Depending on where you live and which laws apply to our business, you may have additional rights to access or receive a copy of information, correct or delete it, withdraw consent, opt out of certain processing, or appeal a decision. These statutory rights depend on the law’s applicability; this policy does not represent that every state privacy law applies to our business.

We may retain information where necessary to complete an order, meet legal obligations, maintain required records, or establish or defend legal claims. If we cannot fulfill a request, we will explain our response as required by law. You may contact us to ask that a decision be reconsidered. We will not unlawfully discriminate against you for exercising applicable privacy rights.

9. Children’s privacy

Our website and ordering services are intended for adults arranging cakes and events. They are not directed to children under 13, and we do not knowingly collect personal information online directly from children under 13. A parent or guardian should handle inquiries and orders for a child’s celebration.

If you believe a child under 13 has submitted personal information directly to us, please contact us so we can investigate and delete it as appropriate under applicable law.

10. External services & processing locations

Our website may link to WhatsApp, Instagram, payment services, or other third-party websites. Those services have their own privacy policies, and we do not control their independent information practices. Review their policies before providing information.

Our business operates in the United States. Service providers may process or store information in the United States or other countries where they operate. Privacy laws in those locations may differ from those where you live. Where legally required, we use appropriate safeguards for transfers. Using our website is not a substitute for any legally required transfer mechanism or consent.

11. Policy updates

We may update this policy when our practices or legal requirements change. The current version will appear on this page with its updated date. For material changes, we will provide additional notice or obtain consent where required by law.
